For chiropractors

Patients stop booking once they feel better. Who’s meant to notice?

You’re with a patient. Someone calls and doesn’t leave a voicemail. A new-patient form sits in the inbox. Someone who was coming twice a week hasn’t booked in three weeks. The person who would notice all of that is you, and you’re busy adjusting.

One follow-up, start to finish

Right now, you’re the one holding the follow-up together.

  1. 01You

    Notice a patient hasn’t rebooked

  2. 02You

    Look up their last visit

  3. 03You

Open ChatGPT and explain your practice

  4. 04You

Say how you want it worded

  5. 05AI

    Drafts a message

  6. 06You

Fix it so it sounds like you

  7. 07You

Send it from your practice software

One of those seven steps is the AI. The other six are still you.

ChatGPT can write a decent message. But you are still the one noticing, remembering and explaining , and between patients, that’s exactly the part that gets dropped.

The reframe

The problem isn’t that AI isn’t smart enough.

Think about a new front-desk hire. On day one they’re smart and willing, and still not much help, because they don’t know your membership, your cancellation policy, which doctors and practitioners send people your way, or how you like patients spoken to. A few weeks in, that changes. They stop waiting to be told and start saying things like:

Then they start saying
  • “It’s Monday. Want this week’s follow-up messages ready?”
  • “That letter to the PT clinic is still waiting.”
  • “Here’s what needs your attention today.”

ChatGPT is already smart. What it’s missing is everything a good front-desk person would learn about your practice.

What changes

Imagine if it already knew your practice.

Imagine sitting down on a Monday and your AI already knows your visit and membership prices, your policies, the people who refer to you, and how you talk to patients.

Your reply to a new-patient inquiry is already written, in your words, ready between appointments. Your follow-up messages are ready when you pull this week’s list from your practice software. It reminds you the referral letter is still waiting. And it starts the Monday routine without you having to remember.

Instead of beginning with

“Let me explain how my practice works…”

You can begin with

“What needs my attention today?”

At that point you’re not just asking ChatGPT questions. You’re beginning to build an assistant that knows your practice.

Build Your First AI Employee for Chiropractors

Build an AI that understands your practice, learns how you work, and helps you keep track of who needs following up.

This isn’t a course about AI. You build it, a step at a time, for your own practice.

Every step, the same rhythm

Understand

One useful idea, explained in plain English.

Build

Do it in your own AI, for your own practice. There’s a copy-ready prompt at every step, and it asks you one question at a time, so you never start from a blank box.

Check

A quick check that it worked, so each part is solid before the next one depends on it.

All you need is your laptop and the Claude or ChatGPT desktop app on a paid plan, about $20 a month. No new practice software. Every piece is shown first on a made-up practice, Maple Hill Chiropractic, so you see it built before you build yours.

The three stages

One AI, getting more useful at every stage.

Go at your own pace or with the live cohort. Either way it comes together in three stages, and nothing gets thrown away: each builds on the last, and everything you build is yours to keep.

Stage 01

It finally understands your practice.

Solves the “Why do I keep explaining myself?” problem.

Your AI learns your practice: your prices and membership, your policies, who refers to you and how you talk to patients. Then you get the front desk out of your head and onto paper: how the desk runs, the phone and text scripts, and what to do when you’re out.

You keep: a written description of your practice your AI can read, and a front-desk handbook in your own words.

Stage 02 · builds on stage 1

It does things your way.

Solves the “Why do I keep rewriting it?” problem.

Your reply to a new-patient inquiry, your check-in after a first visit, your message to someone who hasn’t rebooked: each one is written once, in your words, and saved, so it comes out right every time instead of starting from scratch.

You keep: follow-up messages for each kind of patient, in your words, saved so you can use them again.

Stage 03 · builds on stages 1 and 2

It tells you where to look.

Solves the “Why do I always have to remember?” problem.

Every Monday it reminds you to pull the “no upcoming appointment” list from your practice software (the list stays in your software; your AI never needs it), with the messages ready to go. Each morning, one page of what’s waiting: inquiries, a referral letter, a supplier invoice. Counts and tasks, not patient names.

You keep: a weekly reminder, with your follow-up messages ready, that comes up on its own schedule, a morning page of what needs attention, and a way to build the next one yourself.

What you keep

This isn’t a course you watch. You’re building something you keep.

Six pieces, built in order. Each depends on the one before it, which is why the result works as one system rather than six separate tricks.

  1. 01What your practice is
  2. 02What it’s allowed to look at
  3. 03How you like work done
  4. 04Keeping things up to date
  5. 05What needs your attention
  6. 06A few things on a schedule

You decide what your AI is allowed to see before anything gets connected.

For a practice, the course recommends not connecting the mailbox patients write to. Use a separate admin mailbox, or paste in a few emails with patient details removed. It stays out of clinical notes, and you review anything before sending it. Your existing privacy and legal obligations still apply.

Who made it

I’m building my own company this way.

This is the practical system I’ve been building for myself, translated for people who run a business and aren’t technical. A chiropractor was in the first group I taught it to, this September, and this edition is that course rewritten around a chiropractic practice. Before this, about twenty years designing software and products, including work at ServiceNow, Reddit and GOV.UK.

I’m not interested in teaching you a pile of prompts. I want you to leave with something working inside your practice.

From the first group

I think of that now as level one, right? Like that’s kind of the consumer level, but level two is not needing to re-explain your context and also not being trapped with that model.

The investment

Two ways to build the same thing. You’re not paying for lectures about AI. Either way, you spend the time building the system for your own practice, and each part should actually work before you move on.

What both options include

  • The full course, written for chiropractic practices. Each step is an idea, then you do it in your own AI, then a check that it worked.
  • Two chapters only this edition has: putting your front desk on paper, and following up with patients.
  • Copy-ready prompts at every step. They ask you what they need, one question at a time.
  • Setup built in: getting the app, making your practice folder, and choosing what your AI may read.
  • Your practice lives in files you own. Move from ChatGPT to Claude, or to whatever comes next, and it comes with you.
  • All future updates to the course.

Questions

Before you decide

Does this touch patient records or my clinical notes?

It stays out of clinical notes, and the course doesn’t connect it to your patient records system. Your follow-up list stays in your practice software: the AI writes the wording, and you or your front desk put the names in and send from the tool you already use. You review anything before it’s sent.

What about HIPAA?

This isn’t legal or compliance advice, and we don’t make compliance claims. What the course does is have you choose what your AI may read before anything is connected. For a practice it recommends a separate admin mailbox, or pasting in a few emails with patient details removed, rather than the mailbox patients write to. Your existing privacy obligations still apply.

Will it answer my phone or talk to patients?

No. Nothing here puts AI on the phone or in front of patients. It drafts; you or your front desk decide what goes out.

I’m solo, with no front desk. Is this for me?

Yes. When you’re the doctor and the front desk, the follow-ups and replies are the first thing to slip. The front-desk chapter still helps: it gets how you run things written down, ready for the day you hire or need cover.

I’m barely using ChatGPT. Is this too advanced for me?

No. If you’ve used AI for an email or a question, you have enough experience to start. It’s designed for practice owners who aren’t technical, and you don’t need to write code.

Do I need new software?

No new practice software. You need the Claude or ChatGPT desktop app on a paid plan, about $20 a month. It works alongside whatever you already use for booking and texting, because it doesn’t plug into it.

What if I fall behind?

On your own, you can’t: it waits where you left off. In the live cohort every session is recorded, and you have the full course to catch up with.

Will you build the whole thing for me?

No. You build it, with help when you get stuck, so you understand and own the system. If you later want something bigger designed and set up for you, that’s a separate conversation.
